1. Who we are
PayRoamer is an app from My Vet Hub, Inc. ("My Vet Hub", "we", "us"). We provide the PayRoamer point-of-sale app for iPhone and the website at payroamer.com (together, the "Service"). Businesses use the app to ring up sales, take in-person payments, send receipts and keep records of their orders.
This policy explains how we handle personal information in the Service. Questions go to dpo@myvethub.com.
2. Businesses and their customers
Two groups of people appear in the Service:
- Account holders: the business owner who signs up and the staff they add. For their information we decide how it is used, and this policy applies directly
- A business's own customers: people who pay a business that uses PayRoamer, and the clients and pets a business keeps on file. The business decides what to record about them. We hold that information on the business's behalf and use it only to provide the Service. If you are a customer of a business, ask that business first about your information
3. Information we collect
| What | Details | Why |
|---|---|---|
| Account details | Name, email address, password (stored only in hashed form) and role, for owners and staff | To sign you in and keep the account secure |
| Business details | Business name, type, phone number and address | To set up the register and because they are required to accept card payments |
| Business records | Items and prices, orders, tips, tax, and the client and pet records a business chooses to enter | To provide the register, receipts and order history |
| Payment details | Card payments are read and processed by Stripe. We receive the amount, the result, the card brand and the last four digits. We never receive or store full card numbers | To show the result of a payment, produce receipts and allow refunds |
| Payout details | Bank account and payout information is held by Stripe. The app shows the bank name, the last four digits, your balance and recent payouts | To show you where and when you are paid |
| Identity verification | The government ID, tax ID and date of birth needed to verify a business are entered on Stripe's own hosted page, which opens inside the app. They go to Stripe; we receive only the verification status | Card networks and the law require Stripe to verify businesses |
| Location | The device's precise location, while the app is in use | Stripe requires it to accept in-person card payments |
| Device identifiers | A push notification token and an account ID | To notify you when your business is approved or a payment was not approved while the app was closed |
Face ID
If you turn on Face ID unlock, the check is done by your iPhone. We never receive or store biometric data.
Receipts
When a receipt is sent by email or text message, it is sent from the device using its own mail or messages app. We do not collect the customer's email address or phone number to do this. Each order also has a receipt page on our servers that can be opened with its private link or QR code.
This website
payroamer.com sets no cookies and runs no analytics or advertising scripts. Like any website, our hosting provider processes technical request data such as IP address and browser type to deliver pages and protect the site. If you email us, we keep your message and address to reply.
4. What we do not collect
- We do not use the advertising identifier, and we do not track you across other companies' apps or websites
- We do not sell personal information or share it for advertising
- The app has no advertising, analytics or crash-reporting software from other companies
- We do not read your contacts, photos, microphone, health data or browsing history
5. How we use information
- To provide the Service: accounts, the register, payments, receipts, orders, payouts and refunds
- To verify businesses and prevent fraud, misuse and unauthorised payments
- To send service notifications, such as approval of your business or a payment that was not approved
- To answer support requests
- To meet legal, tax and accounting obligations
We do not use your information to make automated decisions that have legal effects on you, and we do not use it to train artificial intelligence models.
7. Retention and deletion
We keep information for as long as the account is open.
You can delete your account in the app under Settings, then Account, then Delete account:
- An owner deletes the business and everything in it: items, orders, clients, pets and staff logins
- A staff member deletes only their own login
- A business cannot be deleted while it still has a balance with Stripe
- The Stripe account is left in place, because Stripe is required to keep payment records
The app also keeps a copy of your items, orders and account details on the device so that it works offline. That copy is removed when you sign out or delete the app. Deleted information may remain in server backups until those backups are replaced. Step-by-step instructions are on the support page.
8. Security
Information is encrypted in transit. Passwords are stored only in hashed form, sign-in tokens are kept in the iPhone's secure storage, and card data is handled by Stripe and never touches our servers. No system is completely secure; if you believe your account has been compromised, contact us straight away.
9. Your rights
Depending on where you live, you may have the right to know what personal information we hold about you, to receive a copy, to correct it, to delete it, and not to be discriminated against for using these rights. You can correct most account and business details in the app, and delete your account as described above. For anything else, email dpo@myvethub.com from the address on your account. We will reply within the time the law allows, and you may appeal a decision by replying to it.
We do not sell personal information and do not share it for cross-context behavioural advertising.
If you are a customer or client of a business that uses PayRoamer, contact that business; we will help it respond.
10. Children
The Service is for businesses and is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, contact us and we will delete it.
11. Changes
We may update this policy. The effective date at the top shows when it last changed, and we will tell account holders in the app or by email before a material change takes effect.
